2. Scope
This Privacy Policy applies to personal information handled by EH Management Group in connection with our Canadian and United States operations, website, forms, coaching, programs, communications, and related services.
It does not govern the independent privacy practices of third-party websites or services that we do not control.
3. Information We Collect
Depending on how you interact with us, we may collect:
Contact information, including your full name, email address, telephone or mobile number, mailing address, and company name;
Inquiry and enrolment information, including the services or resources you request, form responses, goals, preferences, and scheduling information;
Coaching and program information, including information you voluntarily share in assessments, calls, messages, exercises, feedback, or group activities;
Transaction information, including purchased services, amounts, dates, payment status, and billing contact information. Complete payment-card information is generally collected directly by our payment processor rather than stored by us;
Communication information, including emails, text messages, call notes, support requests, consent records, communication preferences, and opt-out requests;
Website and technical information, including IP address, browser type, device information, pages visited, referring links, approximate location derived from IP address, and cookie or analytics data; and
Other information you voluntarily provide or that we are legally permitted to collect.
Please do not provide highly sensitive medical, financial, legal, identification, or other personal information unless it is reasonably necessary and we have asked you to provide it through an appropriate channel.
4. How We Collect Information
We may collect information:
directly from you through forms, checkout pages, surveys, calls, email, text messages, program platforms, and coaching interactions;
automatically through cookies, analytics, logs, and similar technologies when you use our website;
from payment, scheduling, communication, learning-management, customer-relationship-management, advertising, and other service providers acting on our behalf; and
from public sources or referral partners where collection and use are permitted by law.
5. How We Use Information
We may use personal information to:
respond to inquiries and provide requested resources;
evaluate fit, process enrolment, and create or manage client records;
schedule, deliver, personalize, and improve coaching or other services;
provide account, billing, support, security, and service communications;
process transactions and maintain financial and business records;
operate, secure, analyze, and improve our website, forms, systems, and programs;
obtain feedback, enforce agreements, prevent misuse, and protect legal rights;
comply with legal, tax, accounting, regulatory, and contractual requirements; and
send marketing communications where permitted by law and where any required consent has been obtained.
We will not use personal information for a materially different purpose without additional consent where consent is required by law.
6. Consent and Communication Choices
Where consent is the appropriate legal basis, we seek consent that is meaningful for the nature, purpose, and consequences of the collection, use, or disclosure.
You may withdraw consent to optional uses, including marketing, at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent does not affect processing that occurred lawfully before withdrawal. Some information is necessary to provide requested services; if you decline or withdraw consent for that processing, we may be unable to provide part or all of the service.
Consent to marketing is not a condition of purchasing our services.
7. SMS and Mobile Information
EH Management Group sends text messages only where permitted by law and where the recipient has provided the applicable consent. Depending on the separate consent selected, messages may include:
non-marketing messages about inquiries, appointments, coaching or program logistics, requested information, accounts, service updates, and customer support; or
marketing messages about coaching programs, events, resources, promotions, special offers, and other marketing updates.
Consent to non-marketing messages does not constitute consent to marketing messages. Providing a mobile number, submitting a form, purchasing a service, or accepting our Terms and Conditions does not by itself constitute consent to receive text messages.
Message frequency varies. Message and data rates may apply. Reply STOP to opt out of text messages and HELP for assistance. After an opt-out request, we may send one message confirming the opt-out. Consent to receive marketing text messages is not a condition of purchase.
We do not sell or rent mobile numbers or SMS consent information. Mobile information and text-messaging opt-in data and consent will not be shared with third parties or affiliates for their own marketing or promotional purposes.
We may provide limited mobile information to service providers that help us deliver messages, provide customer support, maintain consent and opt-out records, prevent fraud, secure our systems, or comply with law. Those providers may use the information only to perform those operational services for us and are subject to appropriate restrictions.
8. Email and Other Marketing
Where permitted by law and where any required consent has been obtained, we may use your contact information to send occasional marketing communications.
You may unsubscribe from marketing email using the link in the message or by contacting [email protected]. Opting out of marketing does not prevent us from sending transactional, safety, legal, account, or service-related communications through a permitted channel.
9. How We Disclose Information
We do not sell or rent personal information. We may disclose limited personal information:
to service providers that support hosting, forms, customer relationship management, scheduling, video calls, email, SMS delivery, payments, accounting, analytics, advertising, document storage, security, and customer support;
to professional advisers such as lawyers, accountants, insurers, and auditors;
where you direct us or provide consent;
where reasonably necessary to complete a business reorganization, financing, merger, sale, or transfer, subject to appropriate confidentiality and legal requirements;
to comply with law, legal process, tax obligations, or lawful government requests; or
to protect safety, prevent fraud or misuse, enforce agreements, or establish, exercise, or defend legal rights.
Service providers may use personal information only for the services they provide to us or as otherwise permitted by law. Mobile information and SMS opt-in data and consent are subject to the additional restrictions in Section 7.
10. Cross-Border Processing
EH Management Group is based in Alberta, Canada and serves clients in Canada and the United States. We may use service providers that process personal information in Canada, the United States, or other jurisdictions.
Information processed outside your province, state, or country may be accessible to courts, law-enforcement agencies, or regulatory authorities under the laws of that jurisdiction. We remain responsible for personal information under our control as required by applicable law and use contractual or other appropriate measures with service providers.
11. Retention
We retain personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, including providing services, maintaining consent and opt-out records, meeting tax and accounting obligations, resolving disputes, enforcing agreements, and complying with law.
Retention periods vary by the type of information and the reason it was collected. When information is no longer required, we will delete, destroy, or anonymize it using reasonable methods, subject to legal and operational requirements.
12. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we handle. These measures may include access controls, authentication, service-provider reviews, backups, secure platforms, staff or contractor confidentiality obligations, and procedures for responding to suspected incidents.
No website, transmission, or storage system is completely secure. We cannot guarantee absolute security. If a breach creates a legally reportable risk, we will provide notice to regulators and affected individuals as required by applicable law.
13. Cookies and Analytics
Our website may use cookies, pixels, analytics, and similar technologies to operate the site, remember preferences, understand traffic, measure marketing, and improve performance.
You may be able to limit cookies through your browser or a website consent tool. Disabling certain cookies may affect website functionality. Where applicable law requires consent for non-essential technologies, we will request it through an appropriate mechanism.
14. Your Privacy Rights
Depending on your location and applicable law, you may have the right to:
request access to personal information we hold about you;
ask us to correct inaccurate or incomplete information;
withdraw consent to optional processing;
request deletion of certain information;
object to or restrict certain uses;
receive information about our privacy practices and service providers; or
make a complaint to an applicable privacy or consumer-protection authority.
These rights are subject to legal exceptions, identity verification, and record-retention obligations. To make a request, email [email protected] with enough detail for us to understand and respond. We may ask for reasonable information to verify your identity.
15. Children
Our services are intended for adults. We do not knowingly collect personal information online from children under 13. Coaching services are not offered directly to anyone under 18 unless a separate program expressly permits it and appropriate parent or guardian involvement and consent are established.
If you believe a child has provided personal information contrary to this section, contact us so we can investigate and take appropriate action.
16. Third-Party Links and Platforms
Our website or services may link to or use third-party platforms. Those providers may process information under their own privacy policies. We encourage you to review their policies. We are not responsible for a third party’s independent privacy practices.
17. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in our services, practices, or legal obligations. The updated version will be posted with a revised “Last updated” date. Where required, we will provide additional notice or obtain consent before applying a material change.
